Position Summary:

We are seeking a highly organized and detail-oriented Scheduling Coordinator to join our teams serving our community partners. The Scheduling Coordinator will be responsible for managing and coordinating schedules for various departments, ensuring efficient use of resources and smooth operations.

 

The Scheduling Coordinator plays a crucial role in accurately scheduling surgical cases and outpatient procedures.  This clerical position serves as the primary point of contact for physicians and their office staff regarding the scheduling of operative procedures.  As a member of the Surgical Services Department, the Scheduling Coordinator works closely with the team to ensure smooth operations.

 

The role involves routine tasks that require strong organizational skills, the ability to prioritize, and keen attention to detail. Internal interactions include collaboration with patient care staff and management across MHS, while external interactions involve communication with physicians, their office staff, and vendors.

Requirements:

  • High school diploma or equivalent; associate or bachelor’s degree preferred.
  • Proven experience in scheduling, coordination, or administrative roles.
  • Proficiency in scheduling software and Microsoft Office Suite.
  • Current BLS Certification from the American Heart Association

Job Duties:

  • Develop and maintain schedules for employees, projects, and resources.
  • Coordinate with department heads to understand scheduling needs and priorities.
  • Monitor and adjust schedules as needed to accommodate changes and ensure optimal efficiency.
  • Communicate schedule changes and updates to relevant staff and stakeholders.
  • Maintain accurate records of schedules, attendance, and time-off requests.
  • Assist in resolving scheduling conflicts and issues promptly.
  • Prepare and distribute daily, weekly, and monthly scheduling reports.
  • Support other administrative tasks as needed.
